Office Manager, Arnhem Land
Mission Aviation Fellowship (MAF) is an organisation using light aircraft to deliver help and hope in over 30 developing countries, for more than 75 years! MAF transports patients, relief workers, produce and medical supplies to the world’s remotest regions and places of deepest human need – places where flying is not a luxury but a lifeline.
One of these places is Arnhem Land, a historical region of the Northern Territory of Australia. It is also a vast wilderness area, defined by rocky escarpments, gorges, rivers and waterfalls. MAF has served the people in Arnhem Land for over 45 years by sharing God’s love through aviation. To continue providing this valuable service we need a motivated Office Manager. Working alongside the Program Director and senior staff, the Office Manager plays a key role in a variety of complex administrative activities and sometimes sensitive situations. The Office Manager will ensure the smooth day-to-day running of the office and will also manage conferences and events. This exciting opportunity is not for the faint hearted and will require excellent organisational skills, a cool head and focus to get the work done. In this role you will provide support to the Program Director and Senior Staff by working with them proactively.
You will do this through a variety of office administration duties including organising meetings, designing and overseeing the production of publications, making travel arrangements, taking minutes of meetings, and coordinating incoming and outgoing mail/goods deliveries (from plane parts to stationery and everything in between).
You will need to have excellent organisational skills as well as a cheerful nature, as welcoming new staff to program is a key responsibility of the role. This is done through the coordination of inductions and orientation to ensure both local and international staff and visitors are welcomed and integrated well into the team.
This role also needs a methodical planner and creative thinker to oversee regular Team Weekends and conferences.
Oversight of both the office premises and staff accommodation is essential to the smooth running of the program. Working with Building Maintenance in regards to repairs and adhering to obligations as tenants are both priorities.
Qualifications, Skills & Experience
Post High School qualification in administration or as a secretary or as PA or equivalent
Proficient Computer skills in Microsoft Office
Experience as an Office Manager, Executive Secretary or equivalent
Experience in note taking
Experience in planning and facilitating meetings and conferences
Experience in compiling a budget
Working knowledge of Microsoft Office to prepare documents or presentations
Working knowledge of electronic communication methods
Knowledge of MailChimp or equivalent
Knowledge of Trello or equivalent
